Frequently Asked Questions

What time should I arrive and depart?

You should arrive in Nashville in the afternoon on Wednesday, October 8 (or Tuesday, October 7 for MDs and EDs) – this will provide you with ample time to get settled before the Welcome Reception, which kicks off at 6:45pm (meet in the hotel lobby for the short walk to the Reception). For departures on Friday, October 10th, we don’t have any planned activities, but we recommend scheduling your flight any time after 9:00am.

*Please note that we cannot guarantee rooms will be ready before typical check-in time (4:00pm)

When do I need to book my travel by? Should I get the cost of my ticket approved before booking it?

If you haven’t booked your flights yet, we recommend booking your economy class ticket and submitting for reimbursement ASAP (ticket prices can get up there!). When booking your own ticket, we ask that you adhere to our established offsite price limit of $350 per one roundtrip ticket.

What items are eligible for reimbursement during the offsite?

Any and all necessary travel / transportation to get you to and from Nashville is eligible to be reimbursed via an expense report. This includes 1 roundtrip flight (into and out of Nashville), car rental if you are driving, and taxis/Ubers to and from the airport if you miss or are unable to take our airport group shuttles (if you are arriving in Nashville on Wednesday and departing on Friday, you should take the airport shuttle provided). Any food/beverage/transportation purchased outside of the planned Accordion events (i.e., bars in the area after our events, taxis/Ubers to and from non-Offsite events) are not eligible for reimbursement. How do I go about extending my trip – either by arriving early or staying longer?

Any extended stays in Nashville outside of our offsite dates will be an out-of-pocket expense. Please note that the Omni Hotel Nashville is at capacity before and after our offsite dates, so we cannot offer extended stays at this hotel. Any extended stays in Nashville will need to be coordinated individually. Please also gain approval from your manager and be mindful of client work prior to booking an extended stay.

What do I wear?
Generally speaking, keep it casual. Nashville in October is typically in the mid-70s during the day, and mid-50s at night, so bringing light outerwear is recommended! Need outfit inspiration for the nighttime events? See below.

Welcome Reception (Wednesday, October 8):
Casual! We’ll be at Ole Red, the world-famous Nashville bar and venue, walking distance from the hotel (Indoor venue)

Accordion Amplified – Awards & After Party (Thursday, October 9):
Now is the time to showcase your best awards show attire. Think: glamorous awards show, star-studded after party, red carpet etc. (no joke – we’ll actually be walking a red carpet…!) Feel free to dress up in your finest attire, as if you were going to the Grammys or CMAs. If to you that means:

  • Channeling your inner Grammy / CMA winner with a tux and gown – go for it.
  • Going full country music star with cowboy hats / bolo ties – go for it.
  • Dressing up as your favorite musician – go for it.

This event will be held at the Country Music Hall of Fame, which is connected to the Omni Nashville (indoor venue). Our Awards Show will be followed by an iconic After Party that’s sure to be the talk of Nashville…so make sure you wear something you can dance in! But if dressing in theme isn’t your thing, don’t worry – dressing up is totally optional.

Are all the offsite events mandatory?

Yes! If you’re making the trip out to Nashville, all team members are required to attend all the offsite events on the schedule (content sessions and social events). We will have a break in the afternoon on October 9 (before the Accordion Amplified Awards & After Party), where you can choose to do your own thing – downtime, explore the city, or sign up for a group activity.

What if I have client obligations that can’t be missed during the offsite?

Our clients know how unique the Accordion culture is and the importance of this time for both you and the firm. To that end, we’ve asked all practice leaders and project leads to inform clients of the offsite and to protect this time. We understand that urgent client needs may arise, but that shouldn’t prevent you from being in Nashville! Even if that means a quick Zoom at the hotel, we want to see you there. So to the extent possible, please plan big deliverables and meetings around the offsite. If you anticipate push back from a client, please let your MD or Practice Leader know.

What if I have specific dietary restrictions?

We want to make sure we are cognizant of everyone’s specific allergies and dietary needs, so there will be a section to note this on the offsite survey that goes out to all staff!

When will rooms be ready for check-in?

Rooms should be ready around typical check-in time – 4pm, although we’ll work with the hotel to get rooms available as early as possible. If your room is not ready upon your arrival, you will be able to store your belongings with the front desk and there are plenty of places within the hotel to work, relax, and explore!

Will I have to share a hotel room with a colleague?

Nope, everyone will have their own hotel room!

Can I bring a plus one?

The offsite is an amazing opportunity to spend with our colleagues in-person, so no plus ones will be able to join us in Nashville.

If I go outside the hotel, what is available in the surrounding area?

Looking for fun things to do in downtown Nashville? You’ll find an array of arts and culture, including the Frick Art Museum, tons of music venues on the Honky Tonk Highway, and the Johnny Cash Museum.
